Responsible for supervising and managing administrative support to the CFO North America and supporting the corporate Finance function. Oversees a variety of clerical office functions and interacting at all levels of the organization including visitors, vendors, and colleagues. Provides administrative support for the department, the managers and supervisors who oversee staff in the department.

  • Manage and maintain executive schedule of the CFO, including scheduling travel, meetings, and conferences, making appointments, and making changes to appointments.
  • Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner.
  • Prepare reports, collect, and analyze information; prepare presentations.
  • Develop and utilize historical information; provide retrieval of information.
  • Record meeting discussions and provide minutes.
  • Data analysis; Proficient in Access, MS Word, Excel, Outlook. Perform filtering and sorting of data, V-lookup, and other functions.
  • Prepare executive responses to routine memos, letters, or correspondence.
  • Prepare and develop a records management system; maintain and recommend changes to records system when appropriate.
  • Interact with internal customers when appropriate and problem solve.
  • Report problems to executives when they cannot be resolved for attention.
  • Coordination of department communications (i.e., distribution list administration, department meeting minutes, etc.)
  • Orders and maintains inventory of office supplies for the department.
  • Provides information to staff
  • Lead and oversee administrative projects for specific areas of responsibility.
  • Audit and approve invoices.
  • Places orders and POs for the Finance function.
  • Provide responsible supervision and control for all department activities.
  • Utilize superior communications skills to motivate staff and develop effective working relationships with peers, executives, and customers.
  • Keep abreast of emerging technology changes and innovations through formal or informal study, reading business and professional publications, networking, and participation in professional organizations.
  • Perform other duties as assigned.




Education and Experience

  • High School Graduate or GED required.
  • Bachelor's Degree preferred; or equivalent combination of work experience and completion of the LDP Program.
  • Minimum five to seven years related experience.
  • Minimum three years industry experience preferred.
  • Minimum three years supervisory or managerial experience required. 


Certifications and Licenses

  • Valid state issued Driver's License
  • Acceptable Driving Record.
  • Proof of automobile insurance. 


Languages and Communication Skills

  • Must be able to read, write and speak English fluently.
  • Ability to communicate and interact effectively with people from multi-functional and diverse backgrounds.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from management, employees, and vendors.


Computer Skills

  • Must be PC literate.
  • Advanced proficiency in Microsoft Office, internet, web-based and job specific software applications.
